W-2 Information for
Student Employees
When will W-2s be mailed? W-2s are mailed the last week of January, of the year following the taxable year. For example, W-2s for 2007 will be mailed the last week of January, 2008. W-2 Addresses Student W-2s are mailed to the current mailing or Local address on file in the Admissions and Records Office. However, if the address has not been changed in the Student Payroll Office (108 Miles Hall) also, there may be a delay correcting the address for the W2s. For example, if a student updates a mailing address in the Student Information System (Admissions and Records, Woody Hall), and does not fill out a new Change of Address Form for Student Payroll Office (Miles Hall), the W-2 could still go to the wrong address. The addresses in Student Payroll are manually updated, from a report, approximately every two weeks to match the addresses in the Student Information System. If the W-2 is mailed before the address can be updated, it will not be correct for the W2. If a student changes his or her address in the Student Payroll Office only, and leaves an old address in the Student Information System (SIS), and the report is run to update addresses to match SIS, the student’s address will change back to the address in SIS. The address must be changed in both locations:
NOTE: Changing your address on a W-4 card will not change your address in the payroll system. What if an employee does not receive a W-2? If you do not receive your W-2’s, please contact the payroll office in writing, requesting a duplicate. Please state full name, social security number, correct mailing address, and taxable year needed. A written signature is required. You may mail your request to the address above, or fax your request to (618) 453-3453. Duplicates will not be processed until mid February of the year the W-2s are mailed. |
